Privacy Policy

This policy explains what information Recruit Board by Elevate Her Hoops Report ("Elevate Her," "we," "us") collects, how we use it, who it is shared with, and the choices you have. It works alongside our Terms of Service.

Information we collect

• Coach and program information: name, title, school, program name, email, phone, and the sign in details for your team.
• Player profiles: name, class year, position, high school, jersey number, club team, height and other measurables, Combine Results, season stats, GPA and test scores, honors, offers, target divisions, a short bio, film and social media links, a photo, and upcoming schedule.
• Contact details for players and parents: email and phone, kept on file for the coach and for us.
• The coach's evaluation of each player, written by the coach.
• Sign up requests from the "Get started" form: name, role, school, email, phone and message.
• College coach contact information gathered from public athletic department staff directories.
• Activity records: which emails were sent, when, and any replies or interest the coach records.
• Payments: handled by our payment provider (such as Square or Stripe). We see that a payment was made, but we never receive or store card numbers.

How we use it

• to build each player's profile page and suggest the college levels that fit her;
• to send recruiting emails about players to college coaches on behalf of the high school coach;
• to give coaches their dashboard and weekly report;
• to tell a family's contact details about a college that has shown interest, when the coach chooses to share that college with the family;
• to respond to sign up requests and package requests, and to run billing; and
• to keep the Service secure and working.

What is public and what is private

• Public: a player's profile page can be opened by anyone with the link, and its link is included in emails to college coaches. It shows her name, school, class, position, stats, measurables, Combine Results, academics, offers, bio, photo, film links, and the high school coach's contact information.
• Private: player and parent email addresses and phone numbers are never shown on profile pages and are never sent to college coaches. Recruiting emails come from the high school coach, and families are not copied on them.

Who we share information with

We do not sell, rent or trade personal information. We share it only as needed to run the Service:

• College coaches, who receive recruiting emails and profile links as described above.
• The player's high school coach, who can see and edit the profiles on their team.
• Service providers that host and operate Recruit Board for us: Netlify (website hosting and data storage), Resend (email delivery), Square or Stripe (payments) and Google Fonts (page fonts).
• Elevate Her Hoops player profiles: if a player already has an Elevate Her profile, we match it to her Recruit Board profile so she has one page instead of two, and we may fill in blank fields from it.
• When the law requires it, or to protect the safety of players or others.

Information about minors

Most players are high school students under 18. A player under 18 may take part only with the permission of a parent or guardian, which is confirmed on the player form or by the coach when adding a player. The Service is not intended for children under 13, and we do not knowingly collect information about them. If you believe information about a child under 13, or about a minor without a parent's permission, has been submitted, contact us and we will delete it.

Cookies

We use one sign in cookie so coaches and our staff stay signed in to their dashboards, and a small setting in your browser that remembers which dashboard tab you last opened. We do not use advertising cookies, trackers or analytics pixels.

How long we keep information

We keep player profiles and activity records while the team's Recruit Board is active and for up to 12 months after, so a returning team does not have to start over. After that, or sooner if you ask, we delete them. Records we must keep for billing or legal reasons are kept only as long as required.

Your choices

• Coaches can update any profile on their team at any time from the dashboard.
• A player, parent or coach can ask us to see, correct or delete a player's information, or to stop emails about her, by emailing us. We will act on the request within 30 days.
• A college coach can ask us to stop sending emails by replying to any email or contacting us.

Security

Sign in passwords are stored in scrambled form, dashboards require a sign in, and data is stored with our hosting provider. No system is perfectly secure, so we cannot guarantee absolute security, but we will tell affected families and coaches promptly if we learn of a breach that affects them.

Changes to this policy

We may update this policy. The effective date above shows the latest version, and we will email team coaches about any significant change.
